General information on the processing of personal data and their free movement
The Romanian Diplomatic Institute considers highly important the responsible use of personal data. It is also important to know how the data is collected and used. The Romanian Diplomatic Institute has taken all necessary technical and organizational measures to ensure compliance with data protection rules. We process the data that Romanian or foreign citizens provide in good faith, in accordance with legal requirements and in conditions that ensure their security. The data provided are processed accordingly, by automatic and/or manual means, to fulfil the purposes for which they were provided. Refusal to provide the necessary personal data makes it impossible to fulfil the purposes for which they were collected.
Further development of our website may result in changes to the privacy policy. We therefore recommend that you periodically check the RDI policy on the privacy of personal data and their free movement.
Legal basis
As of 25 May 2018, Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation – GDPR) entered into force, repealing Directive 95/46/EC. The legal basis for storing, processing or publishing personal data on the Romanian Diplomatic Institute website is Article 6 of the GDPR. The website of the Romanian Diplomatic Institute may collect and process various types of data, including personal data.
Purpose of data processing operations
The purpose of the data processing operations is to ensure the proper organization / management / conduct of the action / meeting / event / course / contract in question organized by the IDR, at the Institute’s premises or other locations. Actions / meetings / events / courses / contracts include internal/external meetings, workshops, information sessions, conferences, seminars, expert meetings, visits and other matters related to the work of the IDR. 2 Organization / running of actions / meetings / events / courses / contracts includes management of participant and mailing lists for contacts, invitations, reports (distribution), feedback, photos/images, presentations, live web streaming and/or audio and video recording of speakers and participants, news and publications, including on the RDI website.
Processed data
Data required for the organization / management / running of the actions / meetings / events / courses / contracts are name, surname, profession, place of work, postal and e-mail address, telephone/fax number, gender (required for the appropriateness of the title in the official context), etc. Live web streaming and/or audio-video recordings of speakers and participants as well as speakers’ presentations could be recorded and published in the context of running and/or promoting the actions / meetings / events / courses, etc.
Participation in the actions / meetings / events / courses / contracts organized / run by IDR implies your implicit consent to the use of the personal data mentioned above.
Data recipients
The recipients of your data may be: the organizer of the action / meeting / event / course / project (members of the designated organizing team), staff involved in the organization and running, including security officers and other partners and subcontractors, on behalf of the IDR, the general public (in the case of data published on the IDR website). The information provided may be disclosed to third parties if required by law.
Server logging
The following data is recorded in the server logs: IP address, time of request, destination address, volume of data transferred, user notification of subsequent request, browser and operating system used, and the website from which the request was initiated (if the website was accessed via a link). The data is only used to ensure the security of the system. Personal data is neither analysed nor used to create user profiles. We will only pass on data used for site administration if we suspect an attack or illegal access to our network infrastructure, in which case we will pass on security data to investigate and resolve the problem.
Cookie policy
Cookies are small text files stored on users’ computers that allow the site to recognize users’ devices in the future when they return to the website. The information contained in cookies is mainly used to manage web sessions, as well as to personalize the website and make it easier to use. This allows us to optimize our website. Our cookies do not store personal data. You can manage cookies by changing your browser settings and you can delete cookies at any time. Blocking cookies will not prevent you from using our website.
Creating user profiles
The privacy policy on social networks and the protection of personal data on social networks are very important to us. We will not create any personally identifiable profiles. The Romanian Diplomatic Institute uses Twitter, Facebook, Instagram, YouTube, as well as other online platforms. We would like to draw attention to the fact that these multimedia providers store user data (such as personal data or IP address) in accordance with their data usage guidelines and use it for commercial purposes.
Your rights
You have the right to access, rectify, erase, restrict processing, transfer data, withdraw consent and object to the use of your personal data. If you believe that data processing violates data protection law or that your rights have otherwise been violated, you can lodge a complaint with the supervisory authority.
In Romania, this is the National Supervisory Authority for Personal Data Processing (ANSPDCP). The Romanian Diplomatic Institute is responsible for the processing of personal data to which it has access.
